How Tobatax Inc. collects, uses and protects your personal information. Last updated September 26, 2026.

Tobatax Inc. follows Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). This policy explains what personal information we collect, why we collect it and how we protect it.

Who we are

Tobatax Inc. (“Tobatax”, “we”) provides tax preparation, bookkeeping, payroll and related services from offices in Winnipeg, Manitoba; Brampton, Ontario; and Surrey, British Columbia.

Information we collect

  • Contact details such as your name, address, phone number and email.
  • Information needed to prepare returns and filings, such as your social insurance number, date of birth, marital status, dependants, income slips, receipts and banking details for direct deposit.
  • Business records you give us for bookkeeping, payroll and corporate filings.
  • Messages you send us through our website contact form, email, phone or WhatsApp.

Our website

Our website does not use analytics, tracking or advertising cookies, and we do not collect information about the pages you visit. Our web host keeps standard server logs, such as IP addresses and the time of each request, for security and to keep the site running.

The Dividend Calculator runs entirely in your browser. The amounts you enter are not sent to us or stored anywhere.

How we use it

  • To prepare and file your tax returns and other government filings.
  • To communicate with you, and with the Canada Revenue Agency and provincial governments on your behalf when you authorize us.
  • To reply to inquiries you send us.
  • To send invoices and keep the business records the law requires.

We do not sell or rent your personal information.

Consent

We collect, use and disclose your information with your consent, which you give when you engage our services or send us your information. You can withdraw consent at any time, subject to legal or contractual limits, although this may mean we cannot complete your filing.

Who we share it with

We share information only when needed to deliver our services:

  • Government agencies: the Canada Revenue Agency and provincial governments, when we file on your behalf.
  • Service providers that help us run our business: professional tax and accounting software, secure document storage, email, and website hosting (Hostinger). Messages sent through our website contact form are processed on our own web hosting and delivered to our inbox. Our online intake form is provided by Google Forms.

These providers may process or store information outside Canada. We only use providers we trust to protect it, and they may use it only to provide their service to us.

Security and retention

We protect your information with physical, organizational and technical safeguards, including restricted access and secure document transfer. Please don’t send your SIN or copies of ID through our website contact form. We keep tax records for at least six years, as the CRA requires, and then destroy them securely.

Your rights

You may ask to see or correct the personal information we hold about you by contacting our privacy officer at info@tobatax.com. If you have a concern we cannot resolve, you may contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last changed.
